Paperless Pay Initiative means all pay statements can be found online

Effective Jan. 1, 2006, the Medical University will implement the Paperless Pay Initiative. This initiative fully implements direct deposit of pay for all university faculty, staff and student employees, and replaces paper pay statements with online pay statements.
 
Approximately 90,000 payroll checks and advices are currently processed, printed and distributed 64 times per year to pay approximately 4,600 faculty and staff. This includes 26 “supplemental” payrolls required for late paperwork or corrections. This printing and distributing is a heavily labor-intensive process. Currently 4,400 employees, or 96 percent of the payroll, have their pay directly deposited into their bank accounts. Less than 200 employees still choose to receive a paper check. 
 
Some benefits of the initiative are reduced costs campus-wide due to streamlined payroll processes, conservation of resources by reducing paper consumption, empowerment of employees through self-service applications and easier access to pay information.
 
Under the initiative, university employees will receive their pay via direct deposit into a maximum of three personal bank accounts or through a direct pay card, which is similar to a debit card. Many people don’t know that MUSC employees participating in direct deposit are entitled to “free basic checking” from at least six local banks. 
 
My PayStub is the safe and secure electronic pay statement that will replace the paper pay statements employees currently receive.  Employees can now view individual pay statements using their MUSC Network Account (MNA) to access the MyRecords application located online at http://www.musc.edu/hrm/myrecords.htm. My Paystub is an excellent planning tool because current pay statements are available online two to three days before pay day, and because individual pay statements going back two years are also available. 
 
Employees who do not have computer access or need training, should contact the Payroll Office for kiosk information and instruction.  All university employees should now have an MNA and all new hires are currently receiving an MNA at orientation.   
 
The last paper paychecks and stubs will be printed for the Dec. 21 biweekly and Dec. 31 monthly payroll. After this time, paychecks for any employee who does not want to use traditional direct deposit or a pay card will be mailed to the employee’s home address on pay day.
 
Best-practices at other higher education institutions include the automation of processes and the reduction of paper. The University Payroll Office is committed to creating or emulating such practices. In the future, they hope to offer employees additional self service applications such as online W-4 so that employees can easily make changes to withholding information and online W-2 forms to facilitate tax preparation.
