To Medical Center Employees:

During the two week period of Oct. 16-27, we will be conducting an Employee Perspective Survey. A national survey firm, Press Ganey and Associates, will handle the survey for us.
    
During the Oct. 10 communications meeting, managers were given information to share with their respective departments. Details about the survey rollout are outlined below in this newsletter.
    
The survey results will identify strengths for us to capitalize on and identify opportunities to improve work life. The Press Ganey survey tool will enable us to benchmark with other organizations. We will use the results to establish a baseline for an employee satisfaction goal that will be included in all leaders’ performance evaluations. (Leaders include all employees in a supervisory role).
 
I am asking for all Medical Center employees’ full cooperation in completing the survey. The survey results will be widely disseminated.

Surveys, smoking policy discussed

Helena Bastian, director of Human Resources, introduced Martin Lebbin, principal consultant with Press Ganey Associates, who discussed the Medical Center’s upcoming roll out of the Employee Perspective Survey scheduled for Oct. 16-27. 
 
Lebbin reminded managers that aside from patients, hospital employees are among the most important people within today’s health care arena.
 
Lebbin explained that the survey is expected to help establish a benchmark for employee satisfaction organization goal. It will also identify key strengths and opportunities to improve the work environment for all Medical Center employees, plus create an action plan that strengthens the organization while enhances services for patients and staff satisfaction. Most importantly, the survey will help fulfill the Medical Center’s mission and values while supporting its commitment through MUSC Excellence.
 
The survey will be available for 12 days, Oct. 16-27,  for Medical Center employees. Participation in this survey is voluntary and every employee's opinion counts. Because the survey will be conducted via the Internet and on-site data collection, participants will be assigned a PIN code to ensure a sound process and confidentiality. Medical Center computer lab rooms (H271 and 220 CSB) have been reserved computer lab rooms throughout the survey period to coordinate the process and collect on-site data.
 
Lebbin addressed concerns regarding confidentiality and assured managers that with more than 25 years experience conducting health care surveys, Press Ganey’s goal is to safeguard the process by providing a neutral environment that allows employees to honestly respond to survey questions in an easy, anonymous method.
 
Survey demographics will not be reported at the department level. Departmental reports must have at least three participating employees to receive a breakout report. Demographics are kept at an overall organizational versus departmental level to ensure confidentiality throughout the process. Individual responses will not be reported. Completed surveys will be destroyed by Press Ganey.
 
Research supports that there is a direct correlation between employee and patient satisfaction. Press Ganey also identified other issues that influence the satisfaction level between employees and patients. According to Lebbin, patients pick up on employee satisfaction. Patient satisfaction is a powerful complementary therapy for healing, reduces stress and the likelihood of fewer complications and cultivates trust creating greater compliance with taking medications and tolerating uncomfortable and frightening procedures.
 
Lebbin assured the audience that Press Ganey surveys are comparable to health care worker-only database and that its consistently tested. Each survey question is validated regularly on its importance to health care overall and an employee’s overall satisfaction. Changes are regularly made to the survey to keep up with issues within the health care environment. The survey is estimated to take 10 to 15 minutes to complete. Beginning Oct. 16, employees may access the survey online: Medical Center intranet, an survey icon on employee’s desktop and via Press Ganey’s Web  site, https://survey.pressganey.com/preview.html After a participant accesses the survey using their assigned PIN code, they should answer all questions thoroughly.
 
The online survey process cannot be complete until the employee activates  the submit button.
 
Managers should make every effort to encourage employee participation in the survey. The Medical Center’s goal is 100 percent participation.

Satisfaction survey timeline
  • Phase 1: Groundwork and communication (through Oct. 15)
  • Phase II—Data collection period (Oct. 16-27)
  • Phase III—Report generation (delivered in November)
  • Phase IV—Senior leadership, management feedback and facilitation training sessions (December to January 2007)
Finally, Lebbin recognized Bastian and her team for their time and commitment in organizing and preparing for the survey.

Smoking shelters
Wayne Brannan, director of University Risk Management, related information about the status of the campus’ smoking shelters and campus smoking policy. Engineering and Facilities have completed the construction of the MUSC Hospital smoking shelter for patients and visitors, located between the main hospital and Education Center/Library buildings.
 
Designated smoking areas for employees and students have been established at eight other locations around campus including areas outside the Basic Science Building, behind the research building, Rutledge Tower, Darby's Children’s Research Institute, IOP, Strom Thurmond Building, Harborview Office Towers and CMH.
 
Brannan reminded the audience that a communication plan to initiate the MUSC smoking policy has been planned and will be introduced in phases.

Communications meeting
Stuart Smith reported on a recent recommendation by the Medical Center Administrative team to reduce the weekly schedule for the hospital communications meeting. Meetings will occur on the first and third Tuesday of each month to allow for more time for managers to conduct business and round with staff.
Education roll out committee
 
Laurie Zone-Smith updated managers about the status of current projects including the C-135 Fecal Management System, the C-133 Gabriel Feeding Tubes (MICU), Horizon Meds Manager which is scheduled to go live Oct. 23, and the Expert Documentation Open House scheduled from 7 a.m. to 7 p.m., Room 220, Clinical Sciences Building, Oct. 12 and 25.
 
Zone-Smith and Mary Hughes Fisher gave a brief overview of the committee’s new validation database. The project was created to track unit education dissemination with roll out committee topics, report unit education needs and completion, provide a follow-up for re-education and serve as a source to validate standards with professional education.

Announcements
  • The Medically Fragile Children’s Program received a $22,500 check from the Greek Orthodox Church’s National Society working with Erica Rouvalis, Department of Therapeutic Services. The funds will be used to help build a playground.
  • Kathy Chase has been named permanent manager of NNICU.
  • Vicki Von Ehrenfried is the new director for perinatal services (NNICU, nurseries and OB areas) in the Children’s Hospital. Von Ehrenfried comes to MUSC from San Antonio.
  • Beth Thelan is the new nurse manager for 7B in the Children’s Hospital. Thelan came from Augusta, Ga.
  • Eric Frisch, Employee Relations and Training Manager, reminded managers that employees who are scheduled for AIDET training sessions must register through CATTS prior to attending.
