Word Transcription Macro...Did you know that any department in the hospital may submit their notes to OACIS for the benefit of all clinicians?

If you are on the ClinLAN network, you may attend a Transcription Macro class, fill out a few forms and voila-your notes will be on the way to OACIS. The Transcription Macro works in conjunction with Microsoft Word.

Once the Macro is loaded onto your PC, you assign it to a button on your MS Word toolbar. After transcribing a note, the transcriptionist simply clicks on the Transcription Macro button and a window pops up requesting information on the patient for that note.

The OACIS team has developed a quick look-up feature to search the OACIS database for a patient, then view all of the patient’s encounters.

The user selects the appropriate encounter to which the note should be associated. Export and import buttons allow the user to fill out all patient and identifier information in two quick mouse clicks. This impressive patient and encounter look up feature helps ensure the note is posted to the correct patient’s electronic chart.  The transcriptionist then chooses a report title (such as Cardiology Letter or Pulmonary Note), clicks SEND, and the note is transmitted to OACIS.

Currently, the Patient Support Systems team at CCIT is working on a Web-based transcription tool so that hospital departments not using the ClinLAN network can submit their clinical notes to OACIS as well.

This new Web based transcription tool is being piloted in a few areas throughout the hospital and will be available to all transcriptionists in the near future.

If you would like to sign up for a Transcription Macro class, please go to  and click on Forms and Policies to access links on the forms which must be completed prior to attending a Transcription Macro class.  There is another link for Training from the main Emerald page where you may register for a class online.
